How do I make sure remote speakers are ready to present?

How many people can attend a virtual event?

How much internet bandwidth does a virtual presenter need?
There isn’t one figure that applies to every platform, but connection stability is at least as important as raw speed.
For example, Zoom currently recommends around 3.8 Mbps upload and 3 Mbps download for 1080p HD video. For a professional event, however, it’s generally best if presenters have plenty of additional capacity rather than operating close to the maximum.
Wherever possible, we recommend a wired internet connection and we always thoroughly test each remote presenter’s actual setup during the technical rehearsal.
What happens if a speaker loses their internet connection during a virtual event?
Technical issues can happen, but any professionally produced virtual event should have a contingency plan for situations like this. That’s certainly the way we work at BeThere Global.
The response will depend on the format of the event. The chair or moderator might continue the session, move temporarily to another speaker or take audience questions while our production team helps the presenter get back online. How do I prepare remote speakers for a hybrid event?

Can you work alongside our existing events team?
Absolutely. We often work alongside internal events teams who already manage delegate communications, speakers, venues, sponsors and event logistics, but need specialist support with livestreaming, hybrid production, event platforms or remote presenters.
We’ll agree on responsibilities clearly during the planning stage and fit into the way your team already works. Your team retains control of the areas they know best, while BeThere Global takes responsibility for the technical production elements where our expertise is needed.
Can you work with our existing venue or AV supplier?
Yes. We regularly work alongside venues, AV companies and internal IT teams, using existing equipment and expertise wherever appropriate.
If your venue already has suitable cameras, microphones, sound and presentation facilities, we can often take feeds from those systems and concentrate on the livestream, online audience and wider hybrid production. Where additional equipment is needed, we can provide that too.
We’ll liaise with everyone involved well before the event, establishing responsibilities and technical requirements so nothing gets overlooked.
How far in advance should we contact an event production company?
For a large or technically complex event, it’s worth involving us as early as possible. This gives us time to consider the venue, connectivity, programme, platform requirements, remote speakers and audience experience before important decisions have been made.
Smaller or less complex events can often be produced with much shorter lead times, so don’t assume you’ve left it too late.
There’s no ideal number of weeks that applies to every event – generally, the more complex the event, the more you’ll benefit from involving us early.
Can you help us choose a venue?
Yes. We can help you assess potential venues from a technical and hybrid production perspective before you commit.
For a hybrid event, factors such as internet connectivity, room layout, power, lighting, sound, camera positions and existing AV facilities can all influence what’s possible and how the event should be produced.
If you’re comparing venues, we can advise on the questions to ask, identify potential issues and, where appropriate, join site visits to assess a venue first-hand.
Do you manage speaker rehearsals and technical checks?
Yes. We strongly recommend technical rehearsals for remote speakers and can organise and manage these in advance.
We’ll check each presenter’s internet connection, camera, microphone, lighting and presentation materials, as well as making sure they’re comfortable with the technology. We’ll also explain what will happen when they go live, how they’ll communicate with the production team and how questions and discussions will be handled.
It gives presenters confidence and, just as importantly, gives our production team the opportunity to identify and resolve any problems before the event.
Can you provide event recording and post-event content?
Yes. Recording is a core part of many of the events we produce.
Sessions can be made available quickly for on-demand viewing, allowing delegates to catch up on presentations they missed or revisit useful content at a time that suits them.
Recordings can also be edited into individual presentations, shorter clips, educational resources or promotional content. Rather than simply creating an archive, we can help turn your event into a useful library of content that continues to reach and engage your audience long after the live event.
Do you provide technical support during the event?
Yes. Our production team manages the technical delivery throughout the live event, supporting speakers, organisers and attendees where required.
Depending on the event, this can include livestream management, presentation playback, remote speaker connections, troubleshooting and attendee support.
Just as importantly, we plan for potential problems in advance. Connection issues, speaker difficulties and other technical problems can happen, but with agreed contingency plans in place, they can usually be dealt with quickly and with minimal disruption to the event.
Can you help us turn an in-person event into a hybrid or virtual event?
Yes. Adding an online audience doesn’t necessarily mean redesigning your entire event.
We can review your existing programme and help determine which sessions should be streamed, how online attendees can participate, whether speakers need to join remotely and what content should be available on demand.
That might mean creating a fully hybrid event or simply adding livestreaming and on-demand access to selected sessions. We’ll recommend an approach based on your audience, objectives, venue and budget rather than adding technology for the sake of it.
